This policy explains how Media-Trek handles personal information collected through this website and when you contact us about a project.

1. What we collect

When you request a quote or contact Media-Trek, we may collect the information you choose to provide, including your name, company, email address, phone number, requested service, approximate quantity, timing, project details and any artwork or reference files you attach.

The website stores your language preference in your browser so that choice can be remembered. Our hosting provider may process standard technical information such as IP address, browser information, timestamps and server logs for security and operation of the site.

We do not collect payment-card information through this website.

2. Why we use it

  • To respond to questions and quote requests.
  • To understand project requirements and recommend suitable printing, display, promotional or apparel options.
  • To prepare estimates, coordinate project follow-up and provide customer service.
  • To protect the website and our systems against abuse, fraud, spam and security threats.
  • To meet legal, accounting or regulatory obligations when applicable.

3. Consent and choices

By submitting information through the website, you consent to Media-Trek using it for the purposes described at the time of collection and in this policy. You may choose not to provide optional information. You may also contact us to withdraw consent where the law allows, although this may limit our ability to continue a request or project.

4. Who may receive information

Access within Media-Trek is limited to people who need the information for their work. We may also use service providers that support website hosting, email, file handling, security or other business operations. Those providers receive only the information reasonably required to perform their services and are expected to protect it.

We do not sell or rent personal information. We may disclose information where required or permitted by law. If a service provider processes personal information outside Québec, applicable privacy assessments and safeguards must be addressed before that transfer is used.

5. Retention and destruction

Media-Trek keeps personal information only as long as reasonably required for the purpose for which it was collected, ongoing project or customer follow-up, legitimate business recordkeeping, and applicable legal requirements. When information is no longer required, it is securely destroyed or, where permitted and appropriate, anonymized in accordance with applicable requirements.

6. Security

We use administrative and technical measures appropriate to the nature of the information to reduce the risk of unauthorized access, use, disclosure, loss or modification. No Internet transmission or storage system can be guaranteed completely secure, so please avoid including unnecessary sensitive information in quote forms or uploaded files.

7. Cookies, browser storage and analytics

The current website uses local browser storage to remember your language preference. The current launch build does not include advertising cookies or behavioural advertising. If analytics, advertising technology or another tracking tool is added later, this policy and any required consent controls will be updated before that tool is enabled.

8. Your privacy rights

Subject to applicable law, you may ask about the personal information Media-Trek holds about you, request access to it, ask that inaccurate or incomplete information be corrected, or raise a privacy concern or complaint. We may need to verify your identity before responding to certain requests.

9. Privacy governance and contact

10. Changes to this policy

We may update this policy when our website, service providers or privacy practices change. Material updates will be reflected on this page with a revised effective date.
